What this guide covers

Set studio identity, business catalog (staff, services, locations), visual theme, and whether signed-in links show as text or icons.

Before you start

  • Tenant admin or owner access to Brand

Step by step

General, Business, Check-in, Policies, Appearance and Setup are laid out the same way: the tab's title, then its panels, usually two: what you pick on the left and its detail on the right (one under the other on a phone). On a computer the bar of tabs stays at the top while you scroll. On a wide window its right end shows the open tab's line: what was just saved on General and Business, how many steps are done on Setup. On Policies and Appearance it also holds Discard and the save button once you change something. On a narrower window that line sits by the tab's title, and the save buttons are lower down: under the cancellation policy on Policies, in a bar at the bottom of the screen on Appearance. Services and Locations keep Save out of the bar on any window: it is at the foot of their editor, or under the list on a phone. Most settings have a small i beside their name: point at it, or tap it, to read what the setting is for. Warnings, errors and what customers will see stay on the page.

  1. General: studio name, business profession and timezone, what bookings are called, where studio mail is forwarded, social links, and what shows around the schedule on Book. Changes save as you make them; the line at the top of the tab says when.
  2. Business: one switch at the top of the list's panel shows Staff, Services or Locations, each with its count. Pick a row and its editor opens beside the list (under the row on a phone). Staff and their hours save as you change them, and so does each owner's or admin's new-booking emails switch (under their Sign-in); Services and Locations each save with their own Save (see Services and locations below). The page address remembers the view, so a link you share opens on it.
  3. Check-in: how people check in when they arrive, today's QR code, and the check-in kiosk (see Self check-in below).
  4. Policies: what customers get back when they cancel late or don't show up, drawn as a timeline with the sentence customers see, and the forms they sign or read (liability waiver, footer policies, custom onboarding, body diagram), each with its own switch and Edit. The liability waiver, footer policies and body diagram editors each have Close. Closing the waiver or the footer policies keeps what you typed, marked Unsaved changes, until you save it (Save release form, Save footer forms) or press Revert to last saved, but only while you stay on Policies: moving to another Brand tab or reloading the page drops it without asking. Closing the body diagram without Save puts its instructions back as they were saved. The cancellation policy waits for Save policy; Discard shows beside it once you change something. The form switches save right away. Moving to another Brand tab with an unsaved cancellation policy asks first: Stay, or Leave without saving.
  5. Appearance: one screen, with the settings on the left and a sample session on the right that changes as you pick. The switch at the top of the settings moves between five groups. Look sets colors, fonts, corners and motion together. Colors, Fonts and Cards adjust one of those only if you want to: the font lists show each font as it looks, and the corner list draws each shape. Site sets whether the storefront opens in light or dark, whether menus show text, icons or both, and your logo and favicon. Nothing changes for visitors until you press Save changes; Discard puts it back. A dot on a group's name means something in it is not saved yet. If a save doesn't go through, the tab says Not saved and why. Link order is fixed: Book, Account, Shop, Admin when available.
  6. Setup: the steps that open your storefront, each marked done or with what is left, and the picked step's form beside the list. While a step is still open, Setup is the first tab; once every step is done it moves to the end of the row. See Welcome and setup.

If you hold some bookings by video, add the meeting link to the location they use.

  1. In Brand → Business → Locations, open the location (for example one called Online).
  2. Paste the link into Video meeting link (optional). It must start with https://. Press Save at the foot of the editor.
  3. To remove it, empty the field and press Save.

People who book a session or appointment at that location get a Join video call link in their booking confirmation email, the day-before reminder and the calendar invite. They also see it on the confirmation screen and on their upcoming bookings in My Account, until the session ends.

What bookings are called

Pick the word your customers know, so Book, My Account, emails and your admin screens all say it.

  1. In Brand → General → Your business, open What are bookings called? and pick Session (the default), Class, Appointment or Lesson.
  2. For another word, pick Custom and type the singular (for example Visit) and, if it isn't just an added "s", the plural. It saves once the singular is filled in.
  3. The hint under the field shows how customers will see it, for example Book a class and Upcoming classes.

It changes the headings and buttons on Book and My Account, booking confirmation, cancellation and reminder emails, and labels like Create New Class and Cancel class? in Schedule. Your own session titles and service names don't change.

What are bookings called?

Pick the word your customers know: Session (the default), Class, Appointment, Lesson, or Custom.

  1. In General → Your business, open What are bookings called? and pick a word. It saves on its own.
  2. For Custom, type the singular (for example Visit). Add the plural if it isn't just the word plus "s"; leave it empty and TAKTICS guesses it.
  3. The word shows on Book (the list heading, buttons and messages), Profile (Upcoming … and Past …), booking, cancellation and reminder emails, and your Schedule screens (Create new …, Cancel …).

In your own email template text, write {{noun}} / {{Noun}} (singular) or {{nouns}} / {{Nouns}} (plural), or {{aNoun}} for "a class" / "an appointment", and each email uses your word.

Self check-in

Let people check themselves in when they arrive, so staff don't have to mark everyone in Schedule → Today.

New studios start with Own device + kiosk on. Nobody can check in until you show the day's code or start a kiosk, and you can turn it off at any time.

  1. In Brand → Check-in, under Self check-in, pick Off, Own device (people scan the studio's QR code with their phone), or Own device + kiosk (also allows a check-in tablet at the studio that staff start).
  2. When it's on, the tab shows today's check-in QR code and how long it still works. Tap Print QR code, tap Show full screen to put it on a screen where people arrive, or tap Copy link to send the check-in link. The owner and admins get the same code and the same three buttons on Schedule → Today, at the top of the Check-in column (above the sessions on a phone).
  3. People scan it. Signed in (or on a phone where they checked in signed in before), with one booking open for check-in they're checked in right away; with more than one they tap Check in on the right booking. Not signed in, they tap their session and name, then type the last 4 digits of the phone number you have on file for them (people with no number on file sign in instead; 5 wrong tries lock that name for the day). Check-in opens 1 hour before the start and closes at the end of the session.
  4. A check-in by name and phone digits shows as ✓ KIOSK in Schedule → Today, like the tablet: it doesn't stop the person cancelling, and you can undo it.

Check-in kiosk (tablet)

With Own device + kiosk on, a tablet at the studio can be a walk-in check-in kiosk.

  1. In Schedule, tap the Kiosk button (the tablet icon) next to +New, or in Brand → Check-in tap Set up a kiosk. On the tablet itself, pick This device, choose a kiosk PIN (4 to 6 digits, typed twice), and tap Start kiosk. On a laptop or phone, pick Another device and scan the code with the tablet (or open /checkin on your studio's site there), sign in with your staff account, and start it under Studio tablet.
  2. The tablet signs you out and switches to the kiosk: today's sessions as cards, and today's QR code for people who'd rather use their phone. The rest of the site is locked while the kiosk runs, and nobody is signed in on the tablet.
  3. People tap their session, then their name. Names show as first name and last initial (for example Sam O.), and only while check-in is open.
  4. They see You're checked in, plus Please pay at the desk if they still owe (or, after a deposit, The rest to pay in person: the kiosk never shows an amount, since anyone can see it). The kiosk returns to the session list after a few seconds.
  5. To leave kiosk mode, tap Staff in the corner and enter the kiosk PIN. After 5 wrong PINs the tablet waits 15 minutes, and longer after each further 5. A kiosk also ends by itself after 12 hours; the tablet then says Kiosk session ended until staff unlock it with the PIN.
  6. Until the tablet is unlocked with the PIN, nobody can sign in on it at your studio's address, not even staff, and not after the kiosk ends (for up to 7 days). Trying to sign in there goes back to the kiosk, which says This is a check-in tablet, so signing in is turned off on it. Staff: use your exit PIN. After the PIN unlock, sign-in works again.

Staff and their hours

Each person in Brand → Business → Staff shows how they sign in, their weekly hours, and their week in seven cells: a filled day is one they can be booked, and the line along its foot is how much of that day is already on the schedule this week.

  1. Click a person to open their editor beside the list (the first person is open when you arrive; on a phone the editor opens under the row). Hours sets the days and times customers can book them. Profile holds their name, photo, color, title and bio. Sign-in invites them or changes their role, and holds the New-booking emails switch for the owner and admins. Private holds contact details and notes only admins see.
  2. What you type or pick saves as you change it: a switch or a time after a moment, typed text when you leave the field. The buttons are for actions: Send invite, Archive, Restore, Delete…, and on a phone Done to close the editor.
  3. Two people on the schedule can't share a name, because the schedule tells people apart by name. If you type a name someone else already has, the name box says so, and that name isn't saved until you change it (a new person isn't added; someone already saved keeps their old name). Two people can't swap names in one go: give one of them a different name first, then rename the other.
  4. Shown and bookable (on Profile) takes someone out of open-hours booking, your site's team list and the schedule filters without removing them. Sessions already scheduled stay.
  5. Archive does the same and moves them to Archived staff, where you can restore them. Someone who can sign in keeps their sign-in until you delete them for good.
  6. Drag the handle on the left of a row (or focus it and use Space and the arrow keys) to change the order.
  7. Add staff sits beside the switch, and this week's total (hours booked of hours open) under it. The number on Staff counts the people on the schedule (someone you are adding counts once they have a name).
  8. Sign in only lists the owner or admins who have no staff profile: they sign in, but customers can't book them. Open one to switch their new-booking emails, or press Add to the schedule to give them a profile with their name and set their hours.

Services and locations

Brand → Business → Services lists what customers book; Locations lists where. Each row says the main facts in words (how a service is booked, its lengths and its price; a location's address and hours).

  1. Click a row to open its editor beside the list (under the row on a phone). The editor is in parts, like a person's, so it fits one screen:
    • A service has Booking (its name, How it's booked, its lengths, the time kept free after each appointment, and on Pay as you go the most people per booking) and Price (its price, and on a paid plan the price type, deposit, pay what you want and credits). How it's booked is Fixed time (you schedule it and customers pick a session) or Open hours (customers pick a free time in staff open hours); the line under it says what the picked one means.
    • A location has Details (its name, address, map link, photo and video meeting link, and on a paid plan Credits added here) and Hours (its weekly hours).
    • The editor remembers the part you left each row on while you stay on the page.
  2. Changes wait for you: when Services or Locations has something unsaved, Unsaved changes shows at the foot of the editor (under the list on a phone) with Save and Discard, whichever part is open, and its tab in the switch says unsaved. You can look at Staff or the other list meanwhile: the changes are still there when you come back. Nothing customers see or pay changes until you press Save. Discard puts back what was saved. If a save is refused (a name left empty, or a deposit that isn't less than the price, for example), nothing is saved, the editor opens the part with the field it is about and the reason shows beside it.
  3. A location's Weekly hours (under Hours) are the exception: they save as you change them, and don't wait for Save.
  4. Add service and Add location sit beside the switch, at the top of the list's panel. A new one is added once it has a name and you press Save; the number on its tab counts it as soon as it has a name.
  5. Archive is at the foot of the editor. Archiving a service or location that sessions use opens a confirmation with the counts: future sessions are cancelled and confirmed bookings refunded. One that nothing uses is archived when you press Save. Archived ones are listed under the list, with Restore and Delete….
  6. Leaving Business for another Brand tab with unsaved changes asks first: Stay, or Leave without saving.

On Pay as you go, a service has a list price that customers pay at the desk, shown beside its name (one part, no Price), and the plan includes one location (where Add location would be, a link goes to Payments → Billing to upgrade). On a paid plan, an open-hours service can also take a card price that is Fixed or Starts at, a deposit online, pay what you want, and credits, all under Price.

Who takes which services

When customers book a service by picking a time (a service set to open hours), choose who can be booked for it.

  1. Open Brand → Business → Staff, then pick a person. Their editor opens on Hours.
  2. Under the weekly open hours, Services offered lists your open-hours services, each with a switch. All are on to start with, so everyone with open hours can be booked for every service.
  3. Switch off a service this person doesn't do. It saves by itself, like the open hours; the line at the top of the tab says what was saved.

On Book, that service's open times then come only from the people who offer it, Who lists only them, and Any available only assigns one of them. A service you add later starts switched on for everyone.

Time between appointments

Keep a few minutes free after each appointment of a service, to reset the room, clean up or write notes.

  1. Open Brand → Business → Services and click an open-hours service.
  2. Set Time after to 5, 10, 15, 20 or 30 minutes (None is the default).
  3. Press Save at the foot of the editor.

After that, the person who takes an appointment of that service isn't offered for anything else until its end plus that time, and the next time Book offers for them starts after it (for example 9:00, 10:10, 11:20 for a 60-minute service with 10 minutes after). Clients don't see the gap; they just see those times. A gap may run past the end of someone's open hours, but never into a class or appointment they have. Scheduled classes don't get a gap.

Each booking keeps the time after its service had when it was booked, so changing the setting only affects new bookings. In Schedule, Calendar → Day shows it on the appointment's block, next to its length (for example +10 min). An appointment you place yourself in the Session editor keeps the gap too, but isn't stopped by other appointments' gaps.

Studio mail forwarding

Mail sent to your studio mailbox (your-link@taktics.studio), including replies to your studio's emails, is forwarded to your sign-in email unless you set another address.

  1. In Brand → General, under Your business, type an address in Forward studio mail to and click away to save.
  2. The owner's sign-in email, or your own, works at once. Any other address (another admin's included) gets an email with a Confirm forwarding link (it works for 48 hours). The field shows Pending confirmation until someone opens that link and confirms.
  3. Until it's confirmed, mail keeps going where it went before: your last confirmed address, else the owner's sign-in email. Use Resend under the field if the email didn't arrive (one link a minute, five a day). A new link replaces the old one.
  4. Leave the field empty to go back to the owner's sign-in email.

If the owner signs in with an address that can't take studio mail, and no forward-to is set, the field shows a note: studio mail isn't forwarded anywhere until you add an address.

Your studio mailbox (your-link@taktics.studio) is yours: studio emails send from it and replies come back to it, and you can show it as your support email. Other TAKTICS addresses (anything else @taktics.app or @taktics.studio) can't be your support email, and no TAKTICS address can be the forward-to, since that has to be an inbox you read.

New-booking emails

Get an email each time someone books or joins a waitlist, so you know without watching Schedule → Today.

  1. Open Brand → Business → Staff, pick yourself or an admin, and open Sign-in. The New-booking emails switch is there, and it saves as you flip it. Each owner's or admin's row in the list says Booking emails on or off. An admin with no staff profile is under Sign in only, with the same switch.
  2. The owner's switch is on by default; only the owner can turn it off. Admins are off until switched on, and can switch themselves off. To add a teammate, invite them as Admin first (the role applies once they accept the invite) (staff-role members have no switch: they can't open this page to switch the emails off again).
  3. The same switch covers credit-refund notices: an email when a member's credits come back after they cancel or you cancel their booking, and one summary email listing everyone refunded when you cancel or delete a session with people in it. It goes to the owner and admins switched on here, never to anyone outside your studio.
  4. Each new-booking email says who booked (name and email, or name and phone for a guest hold), the session, the date and time in your studio's timezone, how they pay (the same label as Schedule → Today), the party size when it's more than one, an Open Today button (it opens Schedule → Today), and a link back to these settings.
