What this guide covers
Choose what members can buy on Shop (/shop): credit packs, memberships, and one-off offerings (plus gift products on Gifts). Edits stay in draft until you Publish catalog.
Before you start
- Access to Admin → Payments
- Stripe Connect started or finished for your studio (payouts)
Walkthrough
Payments tabs
Publish when draft is ready
Step by step
- Open Admin → Payments. It opens on To collect: everyone who still owes for a visit, from today or an earlier day (see below). Use Catalog for the rate card (Credits | Memberships | One-offs); Gifts stays its own tab; Guest sales lists Shop purchases paid without signing in; Tips has this week's tips by staff member, the tip switches and a preview of what clients see; Sales & activity shows what you sold and who booked in a day, week, or month, counted by your studio's timezone (Memberships lists the memberships bought or renewed; Location and Type narrow the list to bookings only); Billing is platform plan plus payouts.
- On Catalog, set $/credit in the Credits column footer. Draft pack sizes recalculate from this rate unless a pack uses a manual credit count.
- Tap + on a column to add an offering on a flip card. Leave Stripe price empty to create a price in Stripe on Save; paste an existing Connect
price_…only when migrating. - When draft work is ready, click Publish on the right of the Payments toolbar (To collect | Catalog | Gifts | Guest sales | Tips | Sales & activity | Billing). Last publish, draft count, and live count sit in that same bar. Members then see the updated Shop snapshot.
To collect: who still owes, and the drawer
Payments → To collect is the one place to check, at the end of the day, that everyone has paid. It works on every plan.
- Still owed lists every visit someone still owes for at the desk: a pay-at-desk booking, or the rest of a deposit. It covers today and the 31 days before, so a visit nobody marked on the day is still here tomorrow. Switch between By day (newest day first) and By person (everything one customer owes together). The tab shows how many visits are owed.
- Tap Mark paid on a visit. Type the Amount they paid (for a deposit with a fixed price it is filled in; for a Starts-at price it is needed), and a Tip if your studio records tips. Then tap how they paid, Cash, Card or Other: that saves it. The amount is optional on a pay-at-desk booking, but entering it lets the drawer add up.
- Give back at the top lists anyone who paid at the desk and then cancelled. Give the money back, then tap Cash returned (or Returned for a deposit).
- Taken at the desk adds up the day: cash, card at the desk, other, tips and a total, and says how much cash the drawer should hold. Every payment is listed with who marked it; Undo puts a payment back on the list (it asks first when the payment has an amount). Use the arrows to look at an earlier day.
Today still has Mark paid for the people in front of you; both screens show the same thing. When someone from an earlier day still owes, Today's summary line adds N more from earlier days →, which opens To collect. The bar at the top of admin counts every day too: N to collect and N to return open To collect, and it reads All paid when nobody owes. In Customers, a customer's drawer says what they owe at the desk, with Open in To collect, which opens the list on them. Card here means a card taken at the desk; credit packs, memberships and gift cards bought online are in Sales & activity. An amount you enter with Mark paid counts in Collected in person in Analytics and your weekly report.
Appointments: how customers pay
For services customers book by picking a time (Brand → Business, a type set to Open hours), customers pay with whatever you sell; credits are one option, never required.
- Memberships: on each membership card in Catalog → Memberships, turn on Covers appointments to let its members book open-hours services without paying again. It's off until you turn it on, and saves on its own.
- Card: in Brand → Business → Services, give the service a Price and press Save. Customers pay it by card when they book a time; the money goes to your Stripe account. Leave it empty for no card payment.
- Pay what you want: in the same place, set Pay what you want, from to the least you'll take. Customers type an amount of at least that.
- Credits: offered when you sell credit packs (or a membership with credits), or when the member still has a balance with you.
- Price type and deposit: under the service's Price, pick Fixed (the default) or Starts at (the price is the least it costs; the final price is agreed in person). Turn on Take a deposit online and enter the deposit to charge only that by card when customers book; they pay the rest in person.
Card and pay what you want hold the customer's time for 10 minutes while they pay, need your Stripe account to be ready, and aren't offered for a time starting in the next 15 minutes. A cancelled appointment refunds by card under your cancellation policy and frees the time.
Deposits: the rest paid in person
With Take a deposit online on, customers see what they pay now and later before they pay, for example "$50 deposit today · $100 in person · Total $150". For a Starts at price they see "Total from $150", "The rest in person", and that the studio confirms the final price in person. Your cancellation policy line shows before they pay.
- The booking keeps what is left to pay, worked out when the customer books. Changing the price later doesn't change bookings already made.
- On the day, Schedule → Today shows the person with $100 due (or From $100 due for a Starts-at price). The same pill shows on the booking in the session's Signed Up list. If they check themselves in on their phone, they see $100 to pay in person (or The rest to pay in person); the shared kiosk always says The rest to pay in person, without an amount.
- Tap Mark paid when they pay. For a fixed price one tap records it. For a Starts-at price the amount opens, filled in with the rest of the listed price; change it if the final price is different, then Save.
- Optionally tap how they paid: Cash, Card or Other. Today remembers your last choice. Tapped the wrong row? Tap Undo (once a payment is undone, on any device, its Cash / Card / Other choice goes with it).
- The customer then sees Paid in full with the total (deposit online plus what they paid in person) on their booking and receipt.
The amount paid in person can be $0 but never less. If the final price is lower than the deposit, enter $0 and refund the difference to their card from your Stripe dashboard (the deposit was paid into your Stripe account). If they cancel or don't come, your cancellation policy decides the deposit and nothing more is owed. If you'd already marked the rest paid and they then cancel, Today shows Paid in person · cancelled, return $100: give the money back, then tap Returned. The customer sees that nothing more is owed and that the money is due back to them. If they're marked a no-show instead, you keep what they paid: Today shows No-show · paid $100 in person, and the customer sees the no-show and what they paid. Undo there asks first (Undo payment? It stops counting as collected. → Undo or Keep), because a no-show can't be marked paid again. Today's count of payments to give back reads N to return. Money paid in person shows as its own Collected in person line in Analytics and in your weekly report, apart from online payments, because it wasn't paid through TAKTICS. In the rare case of more payments than one report can add up, it shows At least the amount.
Tips
Tips are for appointments (open hours, one staff member) and are off until you turn them on in Payments → Tips. There are two switches, and a third under the first once it's on.
The screen has two panels. On the left, This week shows each staff member's tips as a bar (online solid, in person striped) with the amounts beside it, then Settings with the switches. On the right, Preview shows what the switches do: Email is your real tip email (your colours, logo and words from Emails), Profile is the tip offer on a client's profile, and Mark paid is what staff see on Today. The preview uses a sample visit. Flipping a switch saves at once (the top bar says Saving…, then Changes save as you make them; on a narrower window that line sits next to the Tips title) and opens the part of the preview it changes. See the email, See their profile and See Mark paid open those views too.
Ask clients for a tip after their visit (Pro with Stripe connected):
- About 2 hours after an appointment ends, the client gets one email, Thanks for coming in, naming the service, the staff member and the day, with 15%, 18% and 20% (each with its amount), Other, and a Tip $X button. The same offer shows on their profile booking card for 7 days. Edit the email's words in Emails (Tip request).
- Nobody is emailed for a cancelled or no-show booking, and never twice for one visit. Clients who turned off booking reminders don't get it (the profile still offers the tip).
- Clients who paid at the front desk (pay at desk, or a deposit with the rest paid in person) could tip when they paid, so they aren't emailed; their profile still offers the tip. To email them too, turn on Also email clients who paid at the front desk.
- If staff recorded a tip with Mark paid, that is the visit's tip: no email, and no online tip offered.
- The percentages are of what the visit cost: the deposit plus what you recorded in person (for Starts at, the final amount), what they paid by card, or the list price.
- Online tips are paid into your Stripe account with the booking money. Stripe's usual card fee applies; TAKTICS takes nothing. To refund a tip, refund it in your Stripe dashboard; the tips report takes it off.
- On the Usage plan there is no card payment, so this switch stays off; record tips in person instead.
Staff can record tips paid in person:
- Turn it on (cash or your card machine, entered with Mark paid). It works on every plan, Usage included.
- On Today, Mark paid on an appointment opens Collected (what they paid for the visit), a Tip box and Cash / Card / Other. Leave the tip empty for no tip, then Save. On a pay-at-desk hold there is just the Tip box and how they paid.
- The row then reads, for example, Paid in full · $95 + $15 tip · Card. Undo clears the tip with the payment. If someone on another device already marked it paid with a different tip, you're asked to tap Undo first.
- A tip counts for the appointment's staff member. This week, above the switches, lists each staff member with their Online and In person tips and their total, plus an All staff row. Tips are owed to staff, so they're never part of your revenue or of Collected in person. The same table shows in Analytics for any date range, and your weekly report email has a Tips line.
If a booking is cancelled after it was marked paid with a tip, Today asks you to return the whole amount (tip included) and the tip leaves the report. TAKTICS takes nothing from tips.
More you can do here
- Open Setup on the Catalog footer for Connect → add offering → Publish from the toolbar (Advanced: reset / re-verify)
- Configure Pay what you want on a One-off flip edit face and low-balance in the Credits footer
- Turn Shop's Pay what you want box on or off with the switch at the top of the One-offs column (on unless you turn it off; saves on its own). Customers type their own amount. If you sell credit packs and Credits on one-offs is on, the box shows and sells the credits that amount buys (at least one credit); otherwise it's a one-time payment from $0.50, with no credits
- Guest sales shows purchases paid on Shop without signing in: buyer email, item, amount and status. A sale joins the buyer's account only after they sign in with that email and choose to add it, so until then they aren't one of your clients. Waiting for the buyer means they haven't added it yet; a refund or dispute marks it Void. A card-reader sale shows as Card payment (buyer not shown) and always shows Held (check refunds in Stripe).
- Billing is what you pay Taktics (plan, usage, contact) plus payouts setup. Member Shop charges stay on Catalog.
